This Privacy Policy explains how APEX MARKETING SOLUTIONS (“we”, “us”, or “our”) handles information when using FollowUpX, including data received through Meta and WhatsApp Business integrations.

1. Information we may process

Business account and configuration information required to connect FollowUpX with Meta and WhatsApp Business.
WhatsApp lead information received through the authorised integration, such as phone number, message metadata, message content where needed for lead identification, and timestamps.
Follow-up status, lead tags, assigned staff, schedule information, and internal notes created inside FollowUpX.
Technical information necessary to operate and secure the service, such as logs, connection status, and error information.

2. How we use information

We use information only to provide and operate FollowUpX, including syncing authorised WhatsApp leads, assigning leads to staff, calculating follow-up schedules, tracking follow-up status, troubleshooting, maintaining security, and improving service reliability.

Important: FollowUpX is designed for lead synchronisation and follow-up management. Follow-up messages remain manually initiated by authorised staff unless a different feature is expressly enabled.

3. Meta and WhatsApp Business data

FollowUpX accesses Meta or WhatsApp Business data only after the relevant business account grants permission. We do not use Meta Platform Data for unrelated advertising, resale, or profiling purposes.

4. Data sharing

We do not sell personal data. Information may be processed by infrastructure or service providers that are necessary to operate FollowUpX, including cloud hosting and database services, subject to their applicable terms and security controls.

5. Data retention

We retain information only for as long as reasonably necessary to provide FollowUpX, maintain business records, comply with legal obligations, resolve disputes, and protect the service. Data that is no longer required may be deleted or anonymised.

6. Security

We use reasonable administrative and technical measures to protect information from unauthorised access, disclosure, alteration, or loss. No online service can guarantee absolute security.
